We are looking for an experienced, highly organised and proactive Executive Assistant to work closely with our Chief Executive Officer and play an important role at the heart of St Vincent’s Hospice.

This is a varied and trusted position combining high-level executive support with responsibility for coordinating our Board and governance arrangements and leading the effective management of our organisational policy framework.

Working closely with the CEO, Chair, Board of Trustees and Executive Leadership Team, you will ensure that meetings, governance processes, policies and key corporate activities are well organised, appropriately documented and delivered to a consistently high standard.

No two days will necessarily look the same. You might be coordinating the CEO’s diary and preparing briefing information, bringing together papers for a Board meeting, following up actions with senior colleagues, supporting Trustee arrangements or ensuring that organisational policies are progressing through the appropriate review and approval process.

As our organisational policy lead, you will maintain oversight of the Hospice’s policy framework and review schedule, working with policy owners across the organisation to ensure policies remain current, appropriately approved, version controlled and accessible to colleagues.

You don’t need to be a governance specialist. We are looking for someone with strong Executive Assistant, PA or senior administrative experience who is exceptionally organised, confident working with senior colleagues and comfortable taking ownership of processes and following things through.

You’ll need excellent attention to detail, strong written communication skills and the judgement and discretion required when working closely with the CEO and handling sensitive and confidential information.

Experience of supporting a Board or Committee, coordinating policies or working within a charity, healthcare or hospice environment would be advantageous, but is not essential.

What we’re looking for

You’ll bring significant experience from an Executive Assistant, Personal Assistant, senior administrative or similar role, ideally supporting at Chief Executive, Director or senior leadership level.

You’ll be someone who can manage competing priorities, anticipate what needs to happen next and bring structure and organisation to a busy working environment. You’ll be comfortable communicating with people at all levels, from colleagues and volunteers to Trustees and external stakeholders, and will have strong digital skills across Microsoft 365, including SharePoint.

Most importantly, you’ll understand the importance of trust, discretion and professionalism and will want to use your skills in an organisation where the work you do behind the scenes helps support the care and services we provide to our community.
